Importing & Exporting Records into RefWorks, by Database Provider

< RefWorks Home

"Exporting" refers to databases that can automatically send records to RefWorks. "Importing" refers to saving records in a file that RefWorks can understand, then uploading the contents of that file into RefWorks.

Off-campus users should access RefWorks using Fairfield University's "Group Code". Accessing RefWorks through StagWeb will render most functions unavailable, although previously saved citations are still viewable. Requesting your RefWorks password will generate an e-mail that provides all your log-in information, including the Group Code.

When a direct RefWorks export option is indicated in some databases, you may be prompted to log-in each time, even if you have already established a RefWorks session in another window.

Some databases will spawn pop-up windows when exporting.

Below, click on the database or database vendor from which you'd like to export into RefWorks:

Importing into Refworks

  1. Log-in to RefWorks (http://www.refworks.com/refworks).
  2. Open another Internet Explorer or Netscape Navigator window and search the Library Catalog (http://sirsi.fairfield.edu).
  3. In the list of hits, select relevant items by clicking on the "Mark" button next to the entry.
  4. When finished, click on the "Kept" link on the toolbar at the top of the page.
  5. Select the entries that you want to import into RefWorks by clicking on the check box next to the title.
  6. Change "View of Records" to "Full" via the drop-down menu. Then, click on the "View" button (If this action is prevented by your pop-up blocker, disable the pop-up blocker, or simply press the <Ctrl> key simultaneously).
  7. A window will pop up with the full records of your selections. Choose File > Save As.
  8. Save the file to your hard drive or storage space as a text file (.txt).
  9. Open the RefWorks window, and click on References > Import button.
  10. Choose "Import Filter/Data Source = Fairfield University."
  11. Choose "Database = Fairfield University (SIRSI Library Software)."
  12. You may specify a folder or use the default "Last Imported."
  13. Browse to select your saved text file, click "Open" and then click "Import" at bottom of page.
  14. View the folder you imported into, and click on "View" from a specific item. Use "Switch to: Full View" to see all the fields that were imported, including the call numbers.
  15. The notes field will contain the item location, and the call number will appear further down the record.

Exporting Steps

  1. Search and find the information you would like to export.
  2. Click the "Check to add to personal list" checkbox for each item. 
  3. From the top menu, choose "Export Options."
  4. For "Entry Format" choose "Short Entry."
  5. For "Request Entry" choose "Personal List ."
  6. For "Output Type" choose "RefWorks Export."
  7. Click "Send" button. 
  8. Click "Export to RefWorks" button. 
  9. Log into RefWorks if you are not already logged in.
  10. References are automatically imported into "Last Imported Folder."

Exporting Steps

  1. Search and find the information you would like to export.
  2. Mark the citations you'd like to save.
  3. Click on "Marked List" (located at the top of the page).
  4. Select "Download Citations."
  5. Select "Export directly to RefWorks."
  6. Log into RefWorks if are not already logged in.
  7. Your records should appear in the "Last Imported Folder."

Cochrane Library

Importing into Refworks

  1. Log-in to RefWorks (http://www.refworks.com/refworks).
  2. Open another Internet Explorer or Netscape Navigator window and search the Cochrane Library.
  3. Select the entries that you want to import into RefWorks by clicking on the check box next to the title.
  4. Click on the "Export Selected Citations" button.
  5. Choose the export and file types that meet your needs, and click "Go."
  6. Save the file to your hard drive or storage space as a text file (.txt).
  7. Open the RefWorks window, and click on References > Import button.
  8. Choose "Import Filter/Data Source = Other."
  9. Choose "Wiley Interscience."
  10. You may specify a folder or use the default "Last Imported."
  11. Browse to select your saved text file, click "Open" and then click "Import" at bottom of page.
  12. View the folder you imported into, and click on "View" from a specific item. Use "Switch to: Full View" to see all the fields that were imported.

Exporting Steps

  1. From a selected report, click the "CiteNow!" button near the top of the page.
  2. A new window will open with the citation; using the "Export citation to:" drop-down menu at the bottom, select "RefWorks."
  3. Log into RefWorks if are not already logged in.
  4. Your record should appear in the "Last Imported Folder."

CSA (Cambridge Scientific Abstracts)


Exporting Steps

If you are using CSA databases, transferring information from the database to RefWorks is accomplished directly from the CSA database.

  1. Log into RefWorks.
  2. Perform your search, and mark the record(s) you want to transfer.
  3. Select "RefWorks" and click on "Export to RefWorks."
  4. Log into RefWorks if are not already logged in.
  5. Your records should appear in the "Last Imported Folder."

NOTE: This does not work for EBSCOhost Electronic Journals Service.

Exporting

  1. Search and find the information you want to import.
  2. Click on the "Add" button to save the citations you want to export.
  3. Click on "Folder has items" (located at the top of the page).
  4. Choose "Save to Disk" option.
  5. Select the "Bibliographic Manager" tab.
  6. Choose "Direct Export to RefWorks."
  7. Click on "Save."
  8. Log into RefWorks if are not already logged in.
  9. Your records should automatically appear in the "Last Imported Folder."

Gale


Exporting Steps

  1. Search and find the information that you want to import.
  2. In the results list, click "Mark" next to each entry you wish to save.
  3. Click on "Marked Items."
  4. A menu labeled "Tools" will appear at left. In that menu, click on "citation tools."
  5. In the next screen, under "Export to third party software," choose RefWorks.
  6. Click the "Export" button. RefWorks should open, and your records should appear in the Last Imported Folder.

Google Scholar

Exporting Steps

  1. From the Google Scholar search page, click on the Scholar Preferences link.
  2. Scroll down to the Bibliography Manager section.
  3. Select Show Links to Import into and select RefWorks from the drop-down.
  4. Click Save Preferences.
  5. Conduct your search in Google Scholar.
  6. Each record displayed will have an Import into RefWorks link. Clicking on the link will launch the RefWorks login page.
  7. Once you log in to RefWorks, you are brought automatically to the Edit view of the reference. If you do not wish to edit the record, you can navigate to any other area of RefWorks.
  8. Your record is stored in your Last Imported Folder.

Exporting Steps

  1. Search and find the information you wish to export.
  2. From the result list, mark the citation(s) you wish to export by clicking the checkbox to the left of the article.
  3. Click the "Print Email Save" button on the left of the page.
  4. Click "Export to bibliographic software: EndNote, RefWorks...", choose the record(s) to send, set the system to download into "RefWorks' Direct Export Tool," and click "Export" (If this action is prevented by your pop-up blocker, disable the pop-up blocker, or simply press the <Cntrl> key simultaneously).
  5. If you are not already logged in, log into RefWorks using the window that opens.
  6. Your citations will automatically be imported into the "Last Imported Folder."

JStor

Importing

  1. Search and find the information you would like to import.
  2. From the result list, choose the "Save Citation" link under a particular result or "Save All Citations on This Page" near the top right of the screen.
  3. Click on the "View Saved Citations" link.
  4. From the "Export Options" drop-down menu, select "Directly Export Citations into RefWorks."
  5. Log into RefWorks.
  6. Your records should appear in the "Last Imported Folder" or the folder you specified.

LexisNexis

Unfortunately, you must manually enter in the data in RefWorks in order to generate the reference.

  1. Log-in to RefWorks.
  2. Click References > New Reference and type in the citation information about the article.
  3. Copy (Ctrl-C) and Paste (Ctrl-V) each desired data element from the LexisNexis page to the RefWorks page.
  4. Click the "Save Reference" button when done, and then you can view your record.

MathSciNet

Importing

  1. Search MathSciNet.
  2. Mark the desired records by clicking "Add to the Clipboard" button.
  3. Click on "View Clipboard" (at top).
  4. In the pull-down menu, select "Citations (BibTeX)" and click "Text."
  5. Using your Browser's "Save as" function, navigate to the local drive and directory where you want to save the file and save the file in the text (.txt) format.
  6. Log into RefWorks.
  7. Select References > Import.
  8. Select "BibTeX" as Import Filter/Data Source.
  9. Select "MathSciNet (AMS) (BibTeX Format)" as Database.
  10.  Browse to find the text file you saved to your computer and click "open."
  11. Click "Import" button.
  12. Your records should appear in the "Last Imported Folder."

MEDLINE (PubMed)

Importing into RefWorks

  1. Search and find the information you would like to import.
  2. Mark the citation(s) you wish to export.
  3. In the drop-down menu next to the Display button, change the option from "Summary" to "MEDLINE."
  4. In the "Send To" drop-down menu, select "Text."
  5. Select "Save As" from your browser and select "Text" as the "Save As" file type.
  6. Open a new window and sign into RefWorks.
  7. Click on References > Import.
  8. Choose "NLM PubMed" as your Import Filter/Data Source.
  9. Select "PubMed" as Database.
  10. Select a folder to Import References into or it will default to "Last Imported Folder."
  11. Browse to find the text file you saved to your computer.
  12. Click "Import" button.
  13. Your records should appear in the "Last Imported Folder."

MultiSearch

Exporting to RefWorks

  1. Using MultiSearch, search and find the information you would like to export.
  2. Mark the citation(s) you wish to export by checking the box beside them.
  3. Click the "Export/Save" link just above the first record in your result list.
  4. Select the "Directly to RefWorks" radio button, and click the export button (if this action is prevented by your pop-up blocker, disable the pop-up blocker, or simply press the <Cntrl> key simultaneously).
  5. Login to RefWorks on the window that pops up (if you're already logged into RefWorks in a separate window, then ignore this step).
  6. Within RefWorks, view your last imported folder. The citations you selected in your MultiSearch results should be there now.

Exporting

  1. Search and find the information you would like to import.
  2. Mark the record(s) you wish to export.
  3. Click the "Export" button.
  4. Choose "Marked Records from this Search."
  5. Choose "Export to: RefWorks" and click "Export."
  6. Log into to RefWorks through the window that pops up.
  7. References are automatically imported into "Last Imported Folder."

Exporting

  1. Search and find the information you would like to import.
  2. Mark the record(s) you wish to export.
  3. Click on "Results Manager."
  4. Choose "Selected Results" (or one of the other Results options).
  5. Select "Complete Reference" in the Fields Section.
  6. Select "Direct Export" for the Result format.
  7. Under Action, click "Save."
  8. Select "Export Citations to RefWorks" and "Continue."
  9. Sign into RefWorks. Your records should appear in the "Last Imported Folder."

Importing

  1. Search and find the information you would like to import.
  2. Mark the citation(s) that you wish to export into RefWorks.
  3. Choose "Save Marked Results."
  4. A window will popup to confirm that you have saved your citations. Click "Close Window."
  5. Choose "Email/Export Saved Results" (top of the page).
  6. On the "Saved Results" page, select "RefWorks" under "Export Marked Results to:"
  7. Click on "Export."
  8. In the new pop-up window, log into RefWorks.
  9. Your citations will automatically be imported into "Last Imported Folder."

Exporting

  1. Search and find the information you wish to import.
  2. From the result list, mark the citation(s) you wish to export by clicking the checkbox next to the article title.
  3. Choose the "My Research" tab at the top of the page.  *Note: If you do not need to view your marked list and are at your results list of brief records, you may click on "Export" instead of "Marked List."
  4. Select the "Export citations into EndNote, ProCite, RefWorks, or Reference Manager" option.
  5. Select the "Export directly to RefWorks" option.
  6. If you are not already logged in, log into RefWorks using the window that opens.
  7. Your citations will automatically be imported into the "Last Imported Folder."

Science Direct

Importing

  1. Search and find the information you want.
  2. Mark the citation record you wish to import into RefWorks.
  3. Click on "Export Citations" at the top of the search results.
  4. On the "Export Citations" page, choose either the "citations" or "citations and abstract" option.
  5. Under the "File Format" option, choose "RIS format" and click on "Export."
  6. Save the file that the database creates.
  7. Open a new window and sign into RefWorks.
  8. Click on References > Import.
  9. Select "ScienceDirect (RIS Format)" as the Import Filter/Data Source.
  10. Select the originating database as the "Database" or you may select "Multiple Databases."
  11. Under "Import Data from the Following Text File," click on "Browse."
  12. Navigate to the file that you have saved and click "Open."
  13. Click "Import" button. Your records should appear in the "Last Imported Folder."

Exporting

  1. Search and find the information you wish to export.
  2. From the result list, mark the citation(s) you wish to export by clicking the checkbox to the left of the article.
  3. Click the floppy disk icon in the upper right of the page.
  4. Click on "Export to RefWorks".
  5. Click on "OK."
  6. If you are not already logged in, log into RefWorks using the window that opens.
  7. Your citations will automatically be imported into the "Last Imported Folder."

Web of Science

Importing

  1. Search Web of Science.
  2. Mark desired records by clicking the checkbox.
  3. Click the "Add to Marked List" button below your results.
  4. When done marking, select the "Marked Lists" button in the top right of the screen.
  5. On the Marked Records Output Options Form, leave the bold fields checked, and check the abstract field if you want to include it.
  6. Leave the options as "Field Tagged" in the pull down menus and click "Save to File." Select text (.txt) as the "Save As" file type. (If this action is prevented by your pop-up blocker, disable the pop-up blocker, or simply press the <Cntrl> key simultaneously).
  7. Click the "Save" button.
  8. Sign into RefWorks.
  9. Click on References > Import.
  10. Select Import Filter/Data Source "ISI (Institute for Scientific Information)."
  11. Select "Web of Science" as "Database."
  12. Select a folder to Import References into, if desired (the default is the "Last Imported Folder").
  13. Click "Browse" to identify the file that you saved earlier (automatically saves as "savedrecs") and click "Open."
  14. Click "Import" button. Your records should appear in your specified folder or the "Last Imported Folder."
